Property Legal Secretary

This role is in the CRE / Housing team.

Preference is in-office for this role with an immediate start.

We are currently seeking to recruit a Property Legal Secretary to join our Commercial Property Department. This is an excellent opportunity to work in a progressive professional organisation. The ideal candidate will have at least 3 years of solid experience in a busy and demanding role, with strong organisational and interpersonal skills.

Day-to-day of the role:

  • Providing a professional, efficient, and proactive secretarial service.
  • Handling phone calls, taking messages, logging daily calls, and following up on calls.
  • Managing digital dictation and producing documents, correspondence, reports, presentations, contracts, and agreements accurately and in a timely manner.
  • Managing diaries, arranging meetings both internally and externally, and confirming with attendees in advance.
  • Managing the receipt and distribution of title documents on ATR for various banking institutions.
  • Performing general administration and other ad-hoc tasks as required.

Required Skills & Qualifications:

  • Strong experience in Commercial Property law.
  • Proficient in dicta-typing and performing PA/secretarial duties for the Head of Unit and several fee earners.
  • Strong MS Office and other IT skills are essential.
  • Experience with case management systems such as Partner for Windows & i-manage would be a distinct advantage.
  • Excellent typing skills required, at least 60+ wpm.
  • Exceptional administration skills with the ability to prioritise work effectively.
  • Ability to work independently with excellent organisational skills.
  • A high degree of diplomacy and professionalism with a pleasant and positive disposition.
  • Ability to handle a large volume of work for various ongoing projects.
  • Good telephone manner and excellent communication skills, both written and oral.
