Booking Hub Administrator

Job Type:             Full Time, Permanent, On-Site - Clondalkin - Dublin 12 

Salary: 35k-45k (depending on experience) 

Role Overview:

Looking for a candidate with administration, managerial and commercial business experience.

The ideal candidate will understand the requirements of a front desk position while also being aware of the importance of people management, scheduling and business & commercial operations.

The role involves dealing with customers arriving for bookings, contacting a pre-existing pool of customers in order to fill empty slots in the calendar, taking payments and liaising with customers regarding their vehicles.

This role will also create and send job cards and quotations to customers for our maintenance workshop and body repair workshop.

The person in this role is solely responsible for collecting and passing information to the correct divisions within the company.

Key Responsibilities:

  • Control and manage the booking calendar of the CVRT Test Centre.
  • CVRT Administration Requirements
  • Contact customers to fill empty CVRT calendar slots.
  • Create and communicate job cards for the production facilities by: Collecting specific vehicle data & Collecting the instruction of work from the customer.
  • Monitor and control our Estimate & Quotation process.
  • Answer & direct phone calls
  • Pass information to different departments and communicate instructions clearly.
  • Take card payments and handle cash.
  • Create Estimates and log them in the Estimate & Quotation monitoring log.
  • Control Estimate & Quotation procedure, ensure that the 24 Hour procedure is upheld.

Key Success Criteria:

  • Quality of information collected at initial engagement and passed to various departments.
  • 100% accurate reconciliation of CVRT payments and invoice statements.
  • 100%  success in internal & external audits of CVRT administration process.
  • Oversight & control of the Estimate & Quotation procedure, ensuring that all Estimates are carried out within our 24 hour customer promise.
  • Best practices regarding clocking, attendance and personal presentation in the workplace.
  • Deliver great customer experience.
  • Receive and uphold training delivered regarding specific tasks.
