Senior Administrative Officer
Location: Dublin 1 - Office Based Monday to Friday
Contract: One‑year fixed‑term
Hours: Full-time, 35 hours per week
Overview
A one‑year opportunity has arisen for an experienced and highly organised Senior Administrative Officer to join an Education, Equality, Research and Learning team. This is a senior role, and applicants must demonstrate substantial experience in senior-level administration, ideally with responsibility for coordinating projects, events or committees.
The position involves coordinating equality and inclusion initiatives, supporting committees, managing events, assisting with research projects, and maintaining high‑quality administrative systems. It requires excellent communication skills, strong organisational abilities, sound judgement and a high level of professionalism.
Key Responsibilities
Equality, Inclusion & Diversity
- Support the development and delivery of equality, inclusion and diversity (EID) initiatives.
- Provide guidance and assistance on EID‑related matters.
- Prepare regular reports tracking progress on equality and diversity projects.
Committee Support
- Service and attend Equality Committee meetings.
- Prepare agendas, take minutes, handle correspondence and manage committee documentation.
- Present prepared materials and ensure effective communication with committee members.
Event & Project Coordination
- Coordinate the organisation of conferences, seminars, training sessions and events.
- Manage logistics including planning, budgeting, venue selection and on‑site coordination.
- Support the delivery of professional learning and training events.
Research & Publications
- Assist with research activities including reading, summarising, drafting questionnaires and initial data analysis.
- Contribute to member-facing content such as FAQs, podcasts, webinars, articles and digital updates.
Administration & Communications
- Manage member and stakeholder queries in a professional, courteous and confidential manner.
- Maintain effective administrative systems related to learning and equality.
- Update and oversee website content to ensure accuracy and clarity.
- Liaise with external stakeholders including government bodies, agencies and partner organisations.
General Duties
- Participate in team meetings and share updates on ongoing projects.
- Undertake additional duties as required.
Skills & Experience Required
Essential
- Previous experience in a senior administrative role, with responsibility for supporting projects, committees or events.
- Proven background in project management, event planning or programme coordination.
- Strong organisational and time management skills.
- High proficiency in IT systems, ideally including project management, event planning or e‑learning tools.
- Excellent written and verbal communication skills, including minute‑taking and report writing.
- Ability to work independently, manage multiple deadlines and exercise sound judgement.
