Senior Legal Secretary - Commercial Conveyancing

About the Role

We are seeking an experienced and highly organised Senior Legal Secretary to join our busy Commercial Property team. The successful candidate will provide comprehensive administrative and secretarial support to solicitors handling a broad range of commercial conveyancing transactions. This role requires excellent attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced legal environment.

Key Responsibilities

Commercial Conveyancing Support

  • Provide full secretarial and administrative support to solicitors within the Commercial Property Department.
  • Prepare, amend and format legal documentation, contracts, leases, licences, deeds and correspondence.
  • Manage all aspects of commercial conveyancing transactions from instruction through to completion and post-completion.
  • Draft and issue contracts for sale, requisitions on title and completion documentation.
  • Maintain and update conveyancing case management systems and client files.
  • Liaise with clients, solicitors, lenders, local authorities and relevant third parties.
  • Coordinate transaction timelines and monitor critical deadlines.
  • Assist with due diligence exercises and management of large property transaction files.

Property Registration & Compliance

  • Prepare and submit applications to the Land Registry and Registry of Deeds.
  • Conduct property searches and obtain title documentation.
  • Ensure all post-completion requirements are completed accurately and within required timeframes.
  • Assist with compliance procedures including client onboarding, anti-money laundering (AML) and Know Your Client (KYC) requirements.

General Administrative Duties

  • Diary and meeting management for fee earners.
  • Manage incoming and outgoing correspondence.
  • Prepare bills, expense claims and client reports.
  • Organise and maintain electronic and physical filing systems.
  • Handle confidential information with discretion and professionalism.
  • Support other departments when required.

Candidate Requirements

Essential

  • Minimum 5+ years' experience as a Legal Secretary, with significant experience in commercial conveyancing/property law.
  • Strong understanding of commercial property transactions and conveyancing procedures in Ireland.
  • Experience dealing with Land Registry and Registry of Deeds applications.
  • Excellent Microsoft Office skills including Word, Outlook, Excel and document formatting.
  • Strong organisational and time-management skills.
  • Ability to prioritise workloads and meet strict deadlines.
  • Excellent written and verbal communication skills.
  • High level of accuracy and attention to detail.
  • Professional and client-focused approach.

Desirable

  • Experience using legal case management systems.
  • Experience supporting partners and senior solicitors.
  • Knowledge of commercial leases, acquisitions, disposals and property finance transactions.
  • Legal Secretarial qualification or relevant business administration qualification.
