Office Manager/Receptionist

Our client is a leading national Irish law firm with offices in Dublin, Cork, and Limerick, is dedicated to providing a range of commercial and personal legal services. An exciting opportunity has arisen for an Office Manager/Receptionist in their Dublin office.

Day-to-day of the role:

  • Greet clients at the front desk and manage the reception area to ensure a professional appearance.
  • Answer calls, directing queries to the correct individuals efficiently.
  • Manage meeting room bookings and liaise with IT for any required support.
  • Procure and manage office stationery and other supplies, including consumables like water, fruit, and milk.
  • Coordinate with the Financial Controller for purchasing non-regular equipment/supplies.
  • Ensure adherence to office procedures by staff, such as opening/closing routines, security protocols, and meeting room bookings.
  • Manage petty cash, general banking requirements, and accounts for taxis and couriers.
  • Administer the Post/Franking Machine and manage the Deeds Register/Safe.
  • Implement Health & Safety procedures, including maintenance of first aid supplies and conducting fire safety drills.
  • Coordinate with the IT Department for all computer/phone equipment needs.
  • Assist with the onboarding process for new hires and manage employee contact details in conjunction with HR.
  • Plan and implement external/internal executive-level events, staff parties, and other significant celebrations.
  • Address employee queries regarding office management issues and keep the Managing Partner informed of relevant issues.

Required Skills & Qualifications:

  • Proven experience in office management or as a receptionist with a legal firm.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in managing databases and office equipment.
  • Ability to handle sensitive information with discretion.
  • Familiarity with health and safety regulations.
