Operations Administrator - Dublin 24

Reed is delighted to part with a successful, Irish owned Freight and Distribution company based in Dublin West.

The remit of this role is to take responsibility for key tasks that ensure our operation runs smoothly and requires strong organisational skills, high levels of attention to detail and strong I.T skills. This role reports to the COO.

Desirable but not essential - have at least 2 years’ experience in a busy operations environment, preferably in transport and logistics
Strong I.T. skills including Excel, Microsoft office package and online platforms.

Duties in the role:

  • Responding to client enquiries via phone and email
  • Completing daily/weekly upload of data that enable accurate invoicing
  • Maintaining records (employee files; training records etc.) relating to our team of drivers
  • Supporting the preparation of the weekly payroll run
  • Managing driver recruitment via jobs platforms, screening, short-listing candidates
  • Reporting on efficiency and areas of improvement
  • Liaising with drivers
  • Managing POD records and systems and dealing with queries
  • Completing incident logs and reports to ensure we are delivering our customers an exceptional level of service.
  • Using telematics systems to answer enquiries, track issues and report on efficiencies
  • Maintaining daily report of fleet and drivers per operation, and fleet utilisation report to give visibility on status of vehicles; driver allocation; efficiency etc..
  • Maintain a tracker record of our fleet of trucks (not vans) including key test dates; costs incurred etc. in support of Transport Manager
  • Maintain a consolidated record of insurance claims including actions outstanding on behalf of Operations Managers who are responsible for follow-up within their operation
  • Monthly Toll & Fuel Efficiency reporting
  • Collating timesheets and ensuring key messages are relayed to our Garage and all accurately filed
  • Involvement in initiatives and projects that improve efficiency and/or level of service.
