Office Manager/PA

Job Description

Our client, a legal practice in Dublin 7 is looking to recruit an Office Manager/PA based in their expanding Dublin office.

Salary - €40,000 - €50,000 DOE

Office based; hybrid working is not suited to the role

Duties & Responsibilities

  • Main point of contact for IT Support Company / Ad hoc support for staff with IT issues
  • Manage mobile phone contracts, in conjunction with Financial Controller
  • File Management – Opening Files, Archiving, Maintaining File Storage, Disposal of Files
  • Good working knowledge of Microsoft Office
  • Maintenance of Practice Evolve Case Management System / Main Point of Contact for Practice Evolve / Maintenance of Precedent Database
  • Website / Social Media / Company Branding
  • Implementing and maintaining procedures/office administrative systems
  • Organising and tidying the office and maintaining stationary supplies and equipment
  • Liaising with staff, suppliers, and clients
  • Dealing with new enquiries / phone calls / walk ins
  • Organising meetings and arranging appointments for the partners
  • Invoicing and chasing payments
  • Support for financial controller in Sligo, covering where necessary.
  • Monthly reporting to Financial Controller of Expenses, Petty Cash, Stamp Printer.

Skills & Attributes required

  • Experience working as an office manager/PA
  • Be organised and methodical
  • Able to work under their own initiative / working on solo projects
  • Good working knowledge of IT and office products / able to assist colleague and problem solve
  • Ensure the office is run effectively, independently managing all this entails.
  • Ability to work as part of a team, to think on their feet, assist colleagues and react quickly
  • Be self-motivated and flexible
