Main Purpose of the Role
To provide comprehensive secretarial and administrative support to the Partner, Solicitors, and other staff within the firm. The Legal Secretary plays a key role in ensuring the smooth and efficient operation of legal services through effective communication, document management, and client liaison.
Key Duties and Responsibilities
·Complete digital dictation and other typing tasks accurately and efficiently.
·Maintain and update the firm’s case management system with relevant information and documentation
·Prepare briefs for counsel and court books for trials and motions
·Perform general administrative duties including filing, photocopying, and scanning documents
·Arrange medical and consultant appointments as needed
·Client Interaction: Answer telephone calls, take messages, and liaise with clients on behalf of Partners and Solicitors
Additional Duties (as required)
·Operate the main switchboard: answer and direct calls, take messages, and assist callers professionally
·Welcome clients and visitors at the reception
·Order stationery and copier supplies, including toner
·Carry out daily banking and lodgement tasks as required
·Record, frank, and dispatch outgoing mail, including delivery to the post office and/or DX
·Schedule boardroom bookings and arrange courier pickups and deliveries
·Check and distribute voicemail messages to the appropriate individuals daily
