Litigation Legal Executive

Duties & Responsibilities

  • Client management
    • You will be accountable for managing a caseload involving multiple clients.
    • Being the internal point of contact for queries about that caseload - and an external point of contact for clients.
    • You will be responsible for handling enquiries from clients in a professional, timely, flexible and friendly manner. 
    • You will be responsible for maintaining client data within the Keyhouse system and maintaining information (physical and electronic) for the provision of MI in line with client requirements.

  • File management
    • You will ensure all documentation is scanned, saved and named in line with Hayes McGrath procedures.
    • Reviewing all case documentation to ensure the appropriate information has been received. Retrieving information from the hard copy file or in-house Case Management System (currently Keyhouse).
    • Ensure all relevant associate information is entered on the system for each case.
    • You will be responsible for the management of cases throughout their life cycle from file opening to file closure.
    • You will assist your solicitor to progress files using Keyhouse tasks.
    • You will ensure the financial information on each case is kept up to date.
    • You will ensure all third parties invoices (barristers, engineers, doctors, specialists etc) and outlays are recorded accurately on the relevant file.

  • Phone Calls
    • Handle all incoming & outgoing phone calls promptly.
    • Record all incoming & outgoing calls in the Call Notes facility on the Keyhouse system in order to document all activity pertaining to a case & keep the system file up to date.
  • Emails
    • Handle all incoming & outgoing emails promptly.
    • Issue all emails pertaining to case files from the Keyhouse system email facility.
    • Update physical & electronic files with any relevant information from emails as required.
  • Diary Management
    • Proactively manage the Diary of Solicitor/Partner.
    • Organise meetings, appointments & other events for Solicitor/Partner as required.
    • Organise appointments and meetings on behalf of your solicitor, arranging room facilities if required and notifying the relevant parties in advance.
  • Dictation
    • Assign all dictation to the offsite Typists where possible.
    • Complete urgent requests for dictation typing if requested by Solicitor/Partner.
    • Review & update/finalise any completed dictation received from the offsite Typists, & issue to Clients as needed.
